Great (and FREE) Alternatives to Microsoft Office/Works Suite

OpenOffice (http://www.openoffice.org) is a free "open source" office suite comparable to Microsoft Office. OpenOffice opens, edits, and saves documents of varying types, including Microsoft Word and also allows saving as PDF.

Google Docs & Spreadsheets (http://docs.google.com) is a free online office tool that opens, edits, and saves documents of varying types, including Microsoft Word and also allows saving as PDF.

Sharing Documents

Use the Save As... function in the File menu to save a version of the document in a different format. Choose a file type that you know the recipient can open or choose a generic format that can be opened by anyone, such as Rich Text (RTF) format.

  1. Access the File menu
  2. Choose Save As...
  3. In the Save as type: list, select a compatible format or choose Rich Text Format (RTF) if you are not sure what the recipient can open.
  4. In the File name: box verify that there is no extension on the file name (.doc for example) or that the extension matches the type you chose in the Save as type list.

Rich Text Format can be opened and edited by anyone on any computer and provides the basic formatting features needed for most documents however, be aware of limitations some formats may have. RTF and other "sharable" file formats may not support some of the more extensive formatting options you have in an application such as Microsoft Word. To save highly formated documents in a compatible file type, create a PDF document that can be viewed by anyone with the free reader.
